How to Build an Apparel Fabric Specification Before Sampling

A useful fabric specification turns a visual reference into measurable material requirements that can be sourced, sampled, compared, and approved in writing.

A fabric reference can communicate appearance, but it rarely gives a manufacturer enough information to reproduce the intended garment. Two materials may look similar while differing in construction, weight, stretch, recovery, surface, finish, color behavior, or suitability for the product.

An apparel fabric specification converts the buyer's intention into a controlled sourcing and approval record. It helps the development team compare options consistently, identify open decisions before sampling, and carry the approved material into later sample and bulk-production checks.

1. Start with the product and use context

Begin with the garment type, intended wearer, fit, season, layer position, activity, climate, destination market, and expected appearance. A fabric cannot be judged in isolation: a base layer, relaxed hoodie, quiet field pant, ski shell, and structured streetwear jacket place different demands on stretch, drape, warmth, surface noise, durability, and weather protection.

State which panels use the material and what the material must do there. Identify contact areas, movement zones, reinforcement zones, lining requirements, decoration locations, and any interaction with trims or seam construction. This context lets the sourcing team explain trade-offs instead of matching only a photograph or color.

2. Separate fiber composition from fabric construction

Composition states which fibers make up the material and, where relevant, their proportions. Construction explains how those fibers form the fabric. Record whether the material is knitted, woven, fleece-backed, mesh, ripstop, laminated, coated, bonded, or another defined construction. Add the yarn, face, back, layer, or reinforcement detail needed to distinguish the intended option.

Do not use a fiber name as a complete specification. The same nominal composition can appear in materials with very different handfeel, stretch, weight, stability, opacity, or abrasion behavior. Likewise, a construction name without composition leaves sourcing and care decisions open. Keep both fields visible in the bill of materials and on every approval reference.

3. Define weight, usable width, and ordering basis

Record the target fabric weight using the agreed unit, commonly grams per square metre where appropriate, and state any accepted tolerance only when it has been agreed for the project. Weight is useful for comparing like constructions, but GSM alone does not prove warmth, durability, stretch, opacity, or weather performance. Those requirements need their own fields and approval checks.

Include usable width and the ordering basis used by the supplier or manufacturer because width affects marker planning, consumption, and panel placement. If yield, roll length, shrinkage allowance, nap direction, print repeat, checks, stripes, or one-way cutting could affect consumption, identify the issue for development rather than hiding it inside a general material description.

4. Specify stretch, recovery, handfeel, and drape

Describe stretch by direction and distinguish mechanical stretch from stretch created by elastic fiber. Where the product depends on movement or shape retention, define how stretch and recovery will be evaluated and at which sample stage. A casual description such as “very stretchy” does not tell the pattern team how the fabric behaves or whether the garment will recover after wear.

Use a physical swatch to anchor subjective properties such as softness, crispness, bulk, fluidity, surface friction, brushed feel, noise, and drape. Written words remain useful, but the approved reference should show the intended face and back. Record whether the sample material is an exact candidate, a temporary development substitute, or a visual reference only.

Touch, bulk, friction, brushing, surface noise, and firmness use a physical reference.

5. Control color, finish, and surface appearance

Give each color a unique name and code, then identify the controlling reference. That may be an approved color standard, lab submission, print artwork, physical swatch, or another agreed route. State whether face, back, lining, rib, mesh, tape, and trims must match or follow separate color standards. Also define the viewing or comparison conditions required by the buyer when they form part of approval.

List functional and aesthetic finishes independently: for example brushing, peaching, washing, coating, lamination, surface treatment, print, or embossing when they are part of the product direction. Do not assume a finish from a photograph. Record the finish supplier or code where applicable, its visible effect, the claimed requirement that must be validated, and which physical submission will approve it.

6. Write performance and testing requirements precisely

Translate phrases such as “waterproof,” “breathable,” “colorfast,” “low shrinkage,” or “durable” into the buyer's agreed requirement before relying on them. For each relevant property, record the target, unit, test method or buyer protocol, sample or lot to be tested, responsible party, timing, report format, and acceptance authority. If no requirement has been agreed, mark it open instead of implying a result.

Choose checks that relate to the product and destination rather than copying a long generic list. Possible project considerations include dimensional stability, colorfastness, pilling, abrasion, seam interaction, stretch and recovery, water resistance, breathability, or other buyer-defined requirements. The actual test package, limits, laboratory route, and frequency must be confirmed in the accepted project documentation.

Do not describe a garment or fabric as meeting a performance level until the project has an agreed requirement and supporting approval or test evidence for the relevant material and construction.

7. Manage substitutions, sources, and material lots

Every bill-of-materials line should show the primary material, supplier or source status, color, relevant specification, use location, and approval status. If an alternate is permitted, define which properties must remain the same, which may vary, who can approve the change, and whether a new garment sample or test is required. An unrecorded “closest available” replacement can change fit, appearance, construction, cost, or performance.

Separate approval of a development swatch from approval of the material intended for production. Supplier, process, color, finish, or lot changes may require comparison against the approved master. Keep a retained reference where the project requires it and record any accepted exception with its scope, date, evidence, and decision owner.

8. Release one fabric approval pack before sampling

Bring the specification, bill-of-materials code, supplier reference, color standard, physical swatch, finish reference, performance requirements, test plan, substitution rules, open points, and approval record into one current pack. Mark whether the material is approved for prototype use, fit evaluation, sales samples, pre-production confirmation, or bulk so that an early substitute is not mistaken for the final choice.

Before the garment sample is cut, confirm which fabric questions that sample is meant to answer and which remain outside its scope. After review, update the material record as well as the garment comments. The final approved specification should identify the controlling revision and supersede earlier submissions, messages, and swatches that are no longer valid.
